Database for your site – Employee Master Files and Charity Lists

 
These are 2 of the bedrock components of your site. The employee master files setup who has access to your site and populate the site with the information given. The employee master file also sets up the parameters for reporting. The charity lists, are no less important, setup which organizations are a part of your campaign, and help determine the shape of your site. Is your campaign going to be a United Way campaign, a Federated campaign, an open campaign or some hybrid. What is in these files has a lot to do with the determining the setup of your site, and the associated reports and not least of which how your campaign’s information and distribution (if this is part of the process of your specific site) is to be completed. These files need to be delivered to approximately 6 to 8 weeks prior to the start of your campaign. This amount of time is needed to ensure that the upload goes well and encounters no problems, and that WPG as received a full and complete file and everyone that should have access to the site has access.
 
Steps to ensure these files help you to have the most successful campaign and site possible:
 
1. Discuss with your representative as soon as possible any changes you would like to either file. Changes to these files require a lot of work, and time to setup and put in place and needs to be thought out thoroughly. Decide what fields must be in the master file, (example: unique identifier, employee name, login id for employee master file, charity name, unique identifier, charity address for charity list) then decide what information you would like reported back from the site, and make sure that the fields you want in the reports are also in the employee master file, or the charity list.
 
2. Establish with your representative the final format of the employee master file or the final list of charities.
 
3. Delivery of these files on time, as mentioned above.  If these files are delivered late, this will translate into your site being deployed later than you wanted. It is added benefit, that when you deliver your files to WPG, that you include in the same or separate email confirming information – Number of lines of information in the file, name of person on the last line of the file, (and if it is part of any file you send WPG, what is the total dollar amount in the file) this helps you and WPG more quickly ensure that we have received a full and complete file.
 
3a. If there are multiple files for either employee master file or charity lists, these need to be in the need to be in the same format, ie master files need to be in same format as other master files, charity files must be in same format as other master files. And make sure that the unique identifiers are filled in for all employees.
 
4. Testing, after the files are delivered and uploaded to the site. Test the site to make sure that all files were uploaded correctly and fully, and that reports are working as desired and includes all the information that you need for your records.
